• Communications data — messages, WhatsApp chats, or emails you send to us
• Technical data — IP address, browser type, pages visited (basic analytics only; we do not use invasive tracking)

• Job application forms on the Job Seekers page, including resume uploads

We process your personal data for the following lawful purposes:

• Recruitment & placement — to match candidates with suitable job opportunities and present shortlisted profiles to hiring employers
• Employer services — to understand hiring requirements and source relevant candidates
• Communication — to call, email, or WhatsApp you about relevant opportunities, your application status, or our services
• Resume & career services — to provide resume writing, ATS optimisation, and related services you have requested
• Legal compliance — to comply with applicable Indian law, including the Information Technology Act 2000 and the Digital Personal Data Protection Act 2023 (DPDP)
• Service improvement — to understand how our website is used and improve the candidate and employer experience

5 Who We Share Data With

We share your personal data only on a need-to-know basis:

• Prospective employers — your CV and professional summary are shared with client companies when actively presenting you for a role. We will always seek your confirmation before submitting your profile.
• Technology service providers — we use trusted platforms including Web3Forms (form processing), EmailJS (email delivery), WhatsApp Business API, and cloud storage. These processors handle data solely on our instructions.
• Legal authorities — if required by law, court order, or a government authority under applicable Indian legislation.

We do not sell, rent, or trade your personal data with any other third party for their independent use.

6 Data Retention

• Active candidates — up to 2 years from the date of last contact or activity, after which inactive profiles are reviewed and deleted
• Placed candidates — placement records retained for 5 years for contractual purposes
• Employer enquiries — retained up to 3 years for relationship management and compliance
• Resume service customers — retained for 1 year or until you request deletion, whichever is earlier

You may request deletion of your data at any time — see Section 8.

7 Data Security

• Our website uses HTTPS encryption for all data in transit
• Form submissions are processed through encrypted third-party APIs (Web3Forms, EmailJS)
• Access to candidate and employer data in our ATS is restricted to authorised Hireaxis team members only
• We regularly review our data handling practices

8 Your Rights

Under the Digital Personal Data Protection Act 2023 (India) and other applicable laws, you have the following rights:

• Right to access — request a copy of the personal data we hold about you
• Right to correction — ask us to correct inaccurate or incomplete data
• Right to erasure — request deletion of your personal data (subject to overriding legal obligations)
• Right to withdraw consent — withdraw your consent to our processing at any time, without affecting the lawfulness of prior processing
• Right to grievance redressal — raise a complaint about how we have handled your data

9 Cookies & Tracking

• No advertising cookies or third-party tracking pixels
• Session data may be stored by your browser locally while you use the site
• We may use basic analytics (server-side logs) to understand aggregate usage — this data is not linked to individuals

10 WhatsApp Communications

• WhatsApp is operated by Meta Platforms Inc. and is subject to their own Terms of Service and Privacy Policy
• We may use information from WhatsApp conversations to contact you about suitable opportunities

11 Children's Privacy

Our services are intended for working professionals aged 18 and above. We do not knowingly collect personal data from anyone under 18. If we become aware of such data, we will delete it promptly.

We may update this Privacy Policy from time to time. We will indicate the "Last Updated" date at the top of the page. Continued use of our website or services after an update constitutes acceptance of the revised policy.
